| Starting price | $0 (Basic), then $13 per seat per month on annual billing with a five-seat minimum | $19/mo (Creator, 1 user, 15 videos and guides) (3 days trial) |
| Pricing model | Per-seat subscription with a five-seat minimum on the team rate, no monthly active user meter, and no charge for people reading published guides. | Four published plans with fixed user and content limits. Creator is monthly; Launch, Scale and Enterprise are annual, shown with struck-through list prices. Scale and Enterprise are sold through sales. Extra users and content bundles are add-ons through sales. |
| Free plan | Basic includes unlimited web application capture, quick customization, and shareable links for a single user, with no cap on how many guides you create. | No |
| Free trial | No fixed-length trial is advertised; the free Basic tier is the evaluation path | 3 days on Creator and 14 days on Launch, no credit card required |
| Best for | Small and mid-sized teams of five or more people who need to document how work is done inside third-party software, especially operations, IT, support, and finance teams, and any buyer whose security review will ask about HIPAA, FERPA, or SOC 2 Type II before a documentation tool is approved. | Customer education and support teams at B2B SaaS companies that want product videos, guides and a customer academy from one tool, and that have the budget for the Scale plan where in-app delivery and the academy live. |
| Setup time | Under ten minutes to a first published guide. Install the extension, sign in, record a process, adjust a few step descriptions, publish. No developer is needed to install Scribe and no developer is needed to publish a guide, which is the structural advantage documentation tools have over in-app guidance platforms that require a script in your own product before anything renders. | A first video takes minutes on Creator or Launch. Scale's in-app tutorials need a no-code embed in your product, and the academy needs course design, which is weeks rather than days. |
| Learning curve | Near zero to create. The organizational work is deciding who owns each guide and building the habit of rerecording after the underlying software changes, since Scribe will not flag it. Larger deployments also have to settle who is allowed to publish, because permission granularity below Enterprise is limited. | Low for recording and editing videos. Building an academy with quizzes and certifications is a content-design project in its own right. |
| Platforms | Chrome extension, Microsoft Edge extension, Windows desktop app, macOS desktop app, Mobile capture on Pro, Web app for editing, organizing, and sharing | Screen recorder, Web app, In-app tutorial embed (Scale and above), Hosted knowledge hub and academy |

| Headquarters | San Francisco, California, United States | Chennai, India; now part of Chargebee (listed address North Bethesda, Maryland) |

Strengths and limitations
Scribe
Strengths
- The best first-pass capture quality in this segment; drafts arrive close enough to publishable that most guides need only light editing.
- The widest compliance surface of any documentation tool here, covering SOC 2 Type II, HIPAA, GDPR, CCPA, and FERPA, which shortens or removes a security review.
- Per-creator pricing with unlimited readers and no monthly active user meter, so audience growth never moves the bill.
- Enormous distribution and adoption, with six million reported users, which means colleagues have often already used it and internal rollout is not a change management project.
Limitations
- The five-seat minimum on Pro Team, combined with a Personal rate at nearly double the per-seat price, makes two-to-four-person teams the worst-served buyer on the card.
- Nothing detects that a guide has gone stale; the screenshots keep looking correct after the software they document has been redesigned, and you learn about it from a confused reader.
- Automatic redaction is Enterprise, so on Pro the only protection against publishing sensitive data in a screenshot is a person remembering to blur it.
- No translation below Enterprise, which is a hard stop for a small multilingual team.
Trainn
Strengths
- One recording produces videos, step-by-step guides, interactive guides and articles.
- Covers delivery as well as creation: in-app tutorials, a knowledge hub and a customer academy in the same product.
- Polished video tooling, with auto zoom, spotlights, captions, AI voiceovers and translation into more than 30 languages.
- SOC 2 Type II, ISO 27001 and GDPR stated on its pricing page.
Limitations
- A more than tenfold jump from the $19 Creator plan to the $2,400 a year Launch plan.
- In-app tutorials, the academy and custom branding start on the $10,000 a year Scale plan, sold through sales.
- Content locks when a trial or plan ends, including shared embeds.
- The Creator trial lasts only 3 days.
Pricing compared
Scribe
Per-seat subscription with a five-seat minimum on the team rate, no monthly active user meter, and no charge for people reading published guides.
- Basic$0
- Pro Personal$25
- Pro Team$13
- EnterpriseCustom
Per creator, Scribe is the cheapest serious documentation tool here once you clear five seats, and it pairs that with the widest compliance surface in the segment, which is a combination nothing else in this comparison set offers. The meter is also the right one: you pay for people writing, not people reading, so unlike the in-app guidance half of this category there is no bill to model against audience growth. That contrast is stark. UserGuiding publishes only its 2,000 monthly active user price, Inline Manual publishes exactly one point on its curve, and Candu publishes no thresholds at all, so a small business cannot forecast any of those without a call. With Scribe you can forecast exactly, and the only cliff is structural rather than hidden: five seats. The weak spot is the gap between Pro and Enterprise, which is wide, unpriced, and contains the two things a growing business most predictably needs, automatic redaction and translation.
Trainn
Four published plans with fixed user and content limits. Creator is monthly; Launch, Scale and Enterprise are annual, shown with struck-through list prices. Scale and Enterprise are sold through sales. Extra users and content bundles are add-ons through sales.
- Creator$19
- Launch$2,400
- Scale$10,000
- Enterprise$39,900
Creator at $19 a month is a cheap way for one person to make polished product videos, but its 15-item cap is small. Launch at $2,400 a year is fair for a small team that mainly wants video and guides. The real product, in-app tutorials, a knowledge hub and a customer academy, starts at $10,000 a year on Scale, which competes with buying a video tool plus an LMS rather than with Guidde or Floik's entry plans.
Editorial verdict on each
Scribe
Ease of UseScribe is the default answer in the process documentation corner of this category, and for teams of five or more it is also the cheapest good one. The capture quality is the best here, the compliance surface covering SOC 2 Type II, HIPAA, and FERPA is wider than anything else in the segment, exports keep your documentation portable, and per-creator pricing means the bill never moves when your guides get popular. Two caveats decide whether it is right for you. The five-seat minimum makes small teams pay either $65 a month or a punitive per-seat rate, and the Pro-to-Enterprise gap is wide, unpriced, and holds the two things a growing business predictably needs next: automatic redaction and translation. Buy it to document work done in software you did not build. Do not buy it to onboard your own product's users or to demo to prospects, because it does neither.

Trainn is a customer education platform wearing a video editor's entry price. Creator at $19 a month and Launch at $2,400 a year are solid for polished product videos and guides, but the reason to choose Trainn over Guidde or Floik is the delivery layer, in-app tutorials, a knowledge hub and a customer academy, and that starts at $10,000 a year through sales. Content that locks when a plan ends is worth weighing too. For a SaaS company building a real customer academy, it belongs on the shortlist; for a small team that needs videos, cheaper tools cover it.
