Valuecase

One template-driven customer space for the deal and the onboarding, priced per user in euros

Valuecase is a German customer workspace platform that gives each prospect or new customer a branded Space holding content, a mutual action plan, forms, chat, and calculators, built from reusable templates and personalized with variables and an included AI assistant, with engagement and progress tracked across every Space on one dashboard. Starter costs €59 per month billed annually (€75 monthly) for one user, and there is a 14-day free trial with no credit card.

Overview

Valuecase sells the same object twice: a shared web workspace, which it calls a Space, used first as a sales deal room and then as an onboarding portal once the contract is signed. The company's own navigation now leads with customer onboarding and lists the deal room as the second use case, and that ordering is a fair description of where the product is strongest. The action plans, forms with conditional logic, automated reminders, and time-to-completion analytics are built for getting a customer live, and they transfer well to a multi-stakeholder sale.

The core mechanic is templates. You build a Space template once with a drag-and-drop builder, set visibility rules so that different segments see different blocks, and add personalization variables for the customer's name, logo, and custom fields. Each new Space is then a personalized copy, created in the app, from a HubSpot deal, or by an AI assistant. Buyers and customers open it through a link, need no account, and are never billed as users, which the pricing FAQ calls out explicitly.

Pricing is published in euros and per internal user. Starter is €59 a month billed annually or €75 monthly, with up to 3 templates and unlimited Spaces. Growth is €119 annually or €159 monthly and adds unlimited templates, the HubSpot and Pipedrive integrations, analytics, direct API access, removal of the Valuecase badge, and a one-to-one onboarding session. Scale is quoted and holds Salesforce, HubSpot custom objects, Enterprise SSO, and custom contracts. A custom domain is an add-on at €40 a month annually or €49 monthly on every tier.

Valuecase GmbH is based in Hamburg and is run by its two co-founders, Lennart Prange and Dr. Jan Niklas Wick. It announced a €3.5 million pre-seed round in September 2022 led by Picus Capital, XAnge, and 10x Founders, and has published no later round. The product is visibly active: an MCP server listed in the Claude and ChatGPT directories, an AI assistant included in every plan at no extra cost, and product update posts through 2025 and 2026. It says it hosts on AWS in Germany with data kept in the EU and describes itself as ISO 27001 certified, which will matter to European buyers more than it does to most tools in this category.

Best for

Small and mid-sized B2B software and services companies, particularly in Europe, that run a structured onboarding or implementation after the sale and want the same branded workspace to carry the buyer from late-stage deal to go-live, with a HubSpot or Pipedrive CRM and a team of one to ten internal users.

Not the right fit for

  • Teams that only need a quick follow-up page after a sales call. A lighter room builder such as Aligned or Trumpet, with a free tier, is cheaper for that single job.
  • Salesforce shops that want self-serve pricing. The Salesforce integration is on the quote-only Scale plan.
  • Buyers who need e-signature or quoting inside the room. Valuecase publishes no native signing or CPQ feature; pair it with a proposal or signature tool.
  • Teams that want a free plan to run live deals indefinitely. There is a 14-day trial, not a free tier.
  • US buyers who need dollar invoices. Prices are published in euros only.

How it works

  1. 1

You build a template in the workspace builder from blocks: text, video, files, embeds from tools such as Loom, Vimeo, Miro, Calendly, and Typeform, interactive calculators backed by Google Sheets, contact cards, accordions, forms, and an action plan with milestones and tasks. Visibility rules and variables let one template serve several segments, and the asset library holds approved collateral so reps pull from one source rather than uploading their own copies.

  2. 2

You create a Space for a prospect or customer from the template, from a HubSpot deal on Growth, from a HubSpot workflow automatically, or by asking Valuecase AI or an MCP-connected assistant to build and personalize it from a transcript or CRM record. The Space is shared as a link on a Valuecase subdomain or, with the add-on, on your own domain, in any of the supported interface languages.

  3. 3

Inside the Space both sides work the action plan, with assignees, due dates, comments, a Gantt view, and automatic email reminders when tasks are due or overdue. Customers fill in forms that save progress and can be reopened, ask questions in a chat sidebar or on specific blocks, and can be given edit rights to the plan or restricted to completing their own tasks.

  4. 4

Your team watches from a dashboard of all Spaces, in list or kanban view with custom columns and status fields, plus a real-time activity feed of page opens, time on content, video views, form submissions, and task completions. Notifications go to Slack or Microsoft Teams, if-this-then-that automations unlock content or update properties on triggers, and on Growth the data syncs to HubSpot properties.

Feature breakdown

24 features in 4 modules

Spaces and templates

How a workspace is built once and reused for every buyer or customer.
Drag-and-drop workspace builder
Pages and blocks assembled without code, with a library of pre-built sales, onboarding, and implementation templates to clone.
Visibility rules
Show or hide blocks and whole sections by variable, so one template serves several segments or products without forking.
Personalization variables
Customer name, company details, logo, and custom fields fill in automatically when a Space is created.
Rich content blocks and embeds
Video, files, calculators, card grids, accordions, Gantt charts, and embeds from YouTube, Loom, Vimeo, Figma, Miro, Calendly, Typeform, and HubSpot forms.
Interactive calculators
ROI cases, complex quotes, and pricing calculators, with Google Sheets available as the calculation engine.
Asset library
A central store of collateral organized in folders and reused across Spaces, so updating an asset once updates it everywhere.
Multi-language Spaces
The pricing FAQ lists English, German, French, Dutch, Spanish, and Czech, and the AI can translate a whole template.

Collaboration with the customer

What the buyer or new customer actually does inside the Space.
Mutual action plans
Milestones and tasks with assignees on both sides, due dates, files, and comments, with a Gantt view for longer projects.
Automated reminders
Email reminders to both your team and the customer for upcoming and overdue tasks, set once in a template and inherited by every Space.
Edit permissions
Customers can be allowed to add and edit milestones, limited to completing assigned tasks, or given a view-only plan.
Forms with conditional logic
Required fields, validation, file uploads, table questions, branching, saved progress, and multi-submit forms for collecting onboarding data.
Chat and comments
A shared chat sidebar and threads attached to specific blocks or tasks, with @mentions that notify the person named.
No buyer accounts
Prospects and customers open Spaces from a link without creating an account and are never billed as users.

Tracking and automation

Where the seller or onboarding lead sees what is happening.
Space dashboard
All Spaces in list or kanban view with custom columns and status fields, filtered and saved as views.
Activity insights
Page opens, time spent on content, video views, form submissions, task completions, and comments in a real-time feed. Growth adds content usage and team activity analytics.
Time-to-completion analytics
How long projects and templates take to finish, for spotting bottlenecks across onboardings. Growth and above.
Workflow automations
If-this-then-that rules such as unlocking content when a task completes or alerting the team when a Space is inactive for seven days.
Slack and Teams notifications
Real-time buyer activity alerts in the channels a team already watches.

AI, MCP, and integrations

The pieces that connect Valuecase to the rest of the stack.
Valuecase AI
Builds templates from uploaded materials, edits and translates content, and generates on-brand visuals such as pricing tables. Included in all plans at no extra cost, never trained on customer data according to the vendor, and can be switched off.
AI connectors
Built-in connections to Gmail, Google Calendar, Google Drive, and HubSpot, plus any custom MCP server, so the assistant can draft follow-ups, schedule meetings, and update CRM records from a Space.
Valuecase MCP server
Listed in the Claude connector directory and the ChatGPT app directory, it lets an assistant create Spaces, write content, build templates, update tasks, and pull onboarding data. Included in all plans.
HubSpot integration
Create and edit Spaces from a deal, create or update them from HubSpot workflows, and sync more than 16 data points back to properties. Growth and above.
Pipedrive and Salesforce
Pipedrive integration on Growth; Salesforce integration and flows, plus HubSpot custom objects, on Scale.
API, Zapier, and Make
API call allowances of 1,000 on Starter, 10,000 on Growth, and 100,000 or more on Scale, alongside Zapier, Make, and Albato connectors.

Use cases

4 documented

Head of onboarding at a 60-person SaaS company

Each new customer gets a kickoff deck, a spreadsheet plan, and a stream of emails asking for the same setup information, and nobody can see which accounts are stuck.

One onboarding template with a conditional intake form, an action plan, and reminders produces a Space per customer from the HubSpot deal; the dashboard shows which customers are behind and time-to-completion analytics show which template step takes longest.

Founder closing mid-market deals across Europe

Buyers in Germany, France, and the Netherlands each get an English deck, and the champion has to translate the pitch internally.

The deal room template is translated with the AI assistant, each Space opens in the buyer's language with their logo, and the founder sees when the finance contact opens the pricing calculator.

Account executive running a proof of concept

The trial has twelve tasks split across two companies, and progress lives in a thread nobody reads.

A mutual action plan with owners on both sides and automatic reminders keeps the pilot moving, and the same Space becomes the onboarding workspace after signature.

Operations lead at a professional services firm

Client onboarding needs documents, compliance answers, and signatures of approval collected from several people at the client.

Forms with file uploads and saved progress collect everything in one place, chat keeps questions attached to the right block, and an automation alerts the team when a Space has been inactive for a week.

Pricing

from €59 per month billed annually, or €75 billed monthly (Starter, one user)

Per internal user subscription in euros, with each plan including one user and additional users charged per month; unlimited Spaces and customer viewers on every plan. Annual billing is cheaper than monthly.

PlanPriceIncludes
Starter€59 (or €75 monthly)
per month, billed annually, one user included
  • Unlimited customers and Spaces
  • Up to 3 templates and 3 properties
  • Custom branding, Valuecase AI, and MCP
  • Additional users €59 a month annually, €75 monthly
  • 1,000 API calls

No CRM integration, content usage analytics, or time-to-completion insights on this tier, and the Valuecase badge stays on.

Growth€119 (or €159 monthly)
per month, billed annually, one user included
  • Unlimited templates and properties
  • HubSpot and Pipedrive integration
  • Direct API access, 10,000 API calls
  • Content and time-to-completion analytics
  • Remove the "Powered by Valuecase" badge, one 1:1 onboarding session
  • Additional users €75 a month annually, €90 monthly

Marked most popular, and the realistic tier for a team that runs its pipeline in HubSpot.

ScaleCustom
quoted
  • 5 or more internal users
  • Salesforce integration and flows, HubSpot custom objects
  • Advanced teams management and Enterprise SSO
  • Shared Slack or Teams support channel, dedicated success manager
  • Custom terms and security questionnaires

Add-ons

  • Custom domain (€40 per month billed annually, or €49 monthly): Serves Spaces from your own domain; an add-on on every plan.
  • View-only user (Quoted): A login with access to internal pages and task assignment.
  • Implementation and ongoing consulting (Quoted): A dedicated success manager runs the implementation.

Billing notes

  • Prices are published in euros only. The page advertises a 25 percent saving for annual billing, which matches Growth (€119 against €159) while Starter's gap is about 21 percent (€59 against €75).
  • Each plan includes one internal user; every extra user is billed at the tier's per-user rate, so a three-person team on Growth costs €269 a month billed annually.
  • Customers and prospects who open Spaces are not billed and need no account.
  • A custom domain costs extra on every plan, including Scale, so fully white-labeled Spaces cost at least €40 a month above the plan price.
  • The comparison table lists API write access as an add-on on Growth and does not include it on Starter, while the Growth card lists direct API access; confirm what you need before relying on write access.

Value assessment: For a single user, Starter at €59 a month billed annually is a reasonable price for a builder with unlimited Spaces, action plans, conditional forms, reminders, and an included AI assistant, but it lacks CRM sync and the deeper analytics. Most teams will need Growth, which makes the realistic entry €119 a month for one person plus €75 for each colleague, before a €40 custom domain. That is more than seat-priced rooms such as Aligned or Trumpet, and less than Dock's paid plans. The value case is strongest where onboarding is the expensive, repeated process: one template doing both the deal room and the implementation plan replaces a room tool and a client onboarding tool, and that consolidation is where the price makes sense.

Strengths & limitations

Strengths

  • One template-driven Space covers the late-stage deal and the onboarding afterwards, with action plans, reminders, and forms built for implementation work.
  • Forms with conditional logic, table questions, file uploads, and saved progress are stronger than most rooms in this category and suit onboarding data collection.
  • Valuecase AI and the MCP server are included in every plan at no extra charge, and the MCP server is listed in both the Claude and ChatGPT directories.
  • Customer viewers are free and need no account, and Spaces are unlimited on every plan.
  • Published EU hosting on AWS Germany and a claimed ISO 27001 certification suit European buyers with data residency questions.
  • Multi-language Spaces and AI translation of whole templates help teams selling across several European markets.

Limitations

  • No free plan; after the 14-day trial the cheapest option is €59 a month billed annually.
  • CRM integration starts on Growth, and Salesforce is only on the quote-only Scale plan.
  • A custom domain is a paid add-on on every tier, so white-labeling costs extra even at the top.
  • No published e-signature, quoting, or payment collection, so closing paperwork needs a separate tool.
  • The product and marketing now lead with onboarding; sales-specific features such as stakeholder mapping and deal risk scoring are less developed than in sales-first rooms.
  • Euro-only pricing and a small pre-seed-funded company, with no later funding round published since 2022.

Head-to-head comparisons

5 alternatives

Valuecase vs Dock

from Free plan; paid plans from $350 per month (Standard)

Dock and Valuecase share the thesis that the workspace should run from deal to onboarding. Dock is the broader revenue platform, with a content library, slides, order forms, and a course module, and it starts free with paid plans from $350 a month. Valuecase is narrower and cheaper to start, at €59 a month per user billed annually, with stronger conditional forms and EU hosting. Pick Dock for order forms and enablement in one tool; pick Valuecase when onboarding is the main job and the budget is smaller.

Valuecase vs Flowla

from Free (Starter, up to 20 rooms); Team at $99 per seat per month

Flowla also carries the room from sale into onboarding, and it offers a free plan for up to 20 rooms and a $99 per seat Team plan with e-signature and a revenue agent that reads calls and the CRM. Valuecase has no free plan and no signing, but its forms, templates, and time-to-completion analytics are more onboarding-oriented and its AI and MCP are included on every plan. Sales-led teams that want deal intelligence lean toward Flowla; implementation-heavy teams lean toward Valuecase.

Full Valuecase vs Flowla comparison

Valuecase vs Arrows

from Not published; the last publicly listed entry point was $500 per month (early 2025)

Arrows is built inside HubSpot or Salesforce, with AI-generated rooms and onboarding plans written back to the CRM, and it does not publish pricing. Valuecase publishes euro prices and includes HubSpot on Growth, but Salesforce only on its quoted Scale tier. HubSpot teams wanting a published price and self-serve start will find Valuecase easier to buy; Salesforce-centric teams will be in a sales conversation with either vendor.

Full Valuecase vs Arrows comparison

Valuecase vs Aligned

from Free for up to 4 rooms per seat; paid plans from $29 per seat per month billed annually ($35 monthly)

Aligned is a sales-first room with a free tier of four rooms per seat and paid seats from $29 a month billed annually. Valuecase costs more per user and has no free tier, but its templates, conditional forms, and onboarding analytics go further after the deal closes. For a follow-up page and a mutual action plan on a small budget, Aligned wins; for a workspace that carries on into implementation, Valuecase does.

Full Valuecase vs Aligned comparison

Valuecase vs Trumpet

from Free for up to 10 Pods; paid plans from $45 per user per month

Trumpet's Pods are polished buyer microsites built from widgets, with a free tier of 10 Pods and paid plans from $45 per user. Valuecase trades some of that visual flexibility for structured onboarding: forms with conditional logic, action plan permissions, reminders, and progress dashboards across every customer. Buyer-page design favors Trumpet; post-sale process favors Valuecase.

Pairs well with

7 categories

Valuecase is a sales rooms tool, and a team running it still has 7 neighbouring categories to staff. The pick in each is HubSpot CRM for sales CRM, Fireflies.ai for AI meeting note takers, Loom for async video messaging, Avoma for conversation intelligence, Paddle for subscription billing, Lob for corporate gifting & direct mail and Calendly for scheduling & booking, each the leading tool in that category on published criteria.

  1. HubSpot CRMSales CRM · Category Leader
    Because
Valuecase sends buyers elsewhere for a quick follow-up page after a sales call. HubSpot CRM adds free unlimited view-only seats.
    Benefit
Every conversation ends up on a record, so a rep leaving does not take the pipeline with them.
  2. Because
Valuecase lists the product and marketing now lead with onboarding among its limits. Fireflies.ai adds pro at $10 per seat annually.
    Benefit
Nobody types notes during a call, and what was promised on it is searchable afterwards.
  3. LoomAsync Video Messaging · Category Leader
    Because
Valuecase lists pricing and a small pre-seed-funded company among its limits. Loom adds transcription and closed captions in more than 50 languages.
    Benefit
A face and a screen recording replace a paragraph nobody was going to read.
  4. Because
Valuecase lists a custom domain is a paid add-on on every tier among its limits. Avoma adds full talk-pattern analytics including talk-to-listen ratio.
    Benefit
What good reps do on calls becomes visible, so it can be taught rather than admired.
  5. PaddleSubscription Billing · Category Leader
    Because

Implementation & onboarding

Setup time
A first Space in under an hour from a gallery template. A production setup, meaning your own templates with visibility rules, forms, reminders, the asset library, and the HubSpot connection, is typically a few days of one person's attention.
Learning curve
Low for reps and customer-facing staff, who mostly create Spaces from templates. Higher for whoever designs the templates, variables, visibility rules, and automations, since those decide whether every Space is consistent.
Onboarding
Self-serve trial with all features, an academy, best-practice templates, webinars, and chat support. Growth includes one 1:1 onboarding session and Scale two or more, with implementation consulting available as a quoted add-on.
Migration notes
Moving from spreadsheets and decks means rebuilding plans and collateral as templates; the AI assistant can draft templates from uploaded PDFs, decks, spreadsheets, and documents up to 50 MB each. Moving from another room vendor means rebuilding templates, and live links on the old vendor's domain cannot be redirected, so plan a cutover.

API
A Valuecase API with call allowances of 1,000 on Starter, 10,000 on Growth, and 100,000 or more on Scale, plus Zapier, Make, and Albato connectors. The MCP server at mcp.valuecase.com uses OAuth and is included in all plans.
Compliance

Data residency

Security notes
The vendor says it never trains language models on customer data and that all AI features can be turned off. The MCP server authorizes through the user's own Valuecase account, so an assistant sees only what that user can see. Custom terms and security questionnaires are handled on Scale.

Frequently asked questions

13 questions

What is Valuecase?

Valuecase is a customer workspace platform from Hamburg. Each prospect or new customer gets a branded Space built from a template, containing content, a mutual action plan, forms, chat, and calculators, and your team tracks engagement and progress across all Spaces from one dashboard. It is used both as a digital sales room and as a customer onboarding portal.

How much does Valuecase cost?

Starter is €59 a month billed annually or €75 monthly, with one user and up to 3 templates. Growth is €119 annually or €159 monthly with unlimited templates, HubSpot and Pipedrive, analytics, and API access. Extra users cost €59 to €90 a month depending on plan and billing. Scale is quoted. A custom domain adds €40 a month annually or €49 monthly.

Is there a free trial or free plan?

There is a 14-day free trial with all features and no credit card. There is no free plan.

Do my customers need to pay or create an account?

No. Prospects and customers open Spaces from a link without an account and are not counted as users. Only your internal team members are billed.

Is Valuecase a sales room or an onboarding tool?

Both, on the same Space. The company now leads with customer onboarding, and its forms, reminders, and time-to-completion analytics reflect that, but the deal room use case has its own templates and the same Space can move from sale to onboarding after signature.

Does Valuecase integrate with HubSpot and Salesforce?

HubSpot and Pipedrive are included from Growth. With HubSpot you can create Spaces from deals, automate them with workflows, and sync more than 16 data points to properties. Salesforce and HubSpot custom objects require the quote-only Scale plan.

Does Valuecase include AI?

Yes, at no extra cost on all plans. Valuecase AI builds templates from uploaded files, edits and translates content, and creates visuals, and it can connect to Gmail, Google Calendar, Google Drive, HubSpot, or a custom MCP server. The vendor says it does not train models on customer data, and AI features can be turned off.

Can Claude or ChatGPT use Valuecase?

Yes. The Valuecase MCP server is listed in the Claude connector directory and the ChatGPT app directory, and other MCP clients can connect to mcp.valuecase.com with OAuth. An assistant can create Spaces, write content, build templates, update tasks, and pull onboarding data. It is included in all plans.

Where is my data stored?

The vendor says it hosts on AWS in Germany and keeps all data within the EU, and it describes the platform as GDPR compliant and ISO 27001 certified.

Does Valuecase have e-signature?

No native e-signature or quoting is published. Teams that need signing in the same flow pair Valuecase with a proposal or signature tool, or embed one, since the builder supports embeds and custom HTML.

What should I pair Valuecase with?

Valuecase is a sales rooms tool, and a team running it still has 7 neighbouring categories to staff. The pick in each is HubSpot CRM for sales CRM, Fireflies.ai for AI meeting note takers, Loom for async video messaging, Avoma for conversation intelligence, Paddle for subscription billing, Lob for corporate gifting & direct mail and Calendly for scheduling & booking, each the leading tool in that category on published criteria.

What do I pair with Valuecase for Sales CRM?

HubSpot CRM. Valuecase sends buyers elsewhere for a quick follow-up page after a sales call. HubSpot CRM adds free unlimited view-only seats.

Is Valuecase enough on its own?

For sales rooms, yes. Valuecase does not cover AI meeting note takers, async video messaging and conversation intelligence, and its own profile says so; Fireflies.ai, Loom and Avoma are the tools that fill those gaps.

Editorial verdict

Valuecase is the right pick in this category for a team whose real headache is what happens after the contract: the same template-driven Space that carries a late-stage deal becomes the onboarding workspace, and its conditional forms, action plan permissions, automated reminders, and time-to-completion analytics are built for that job. The AI assistant and MCP server come with every plan, customers never pay or log in, and European buyers get EU hosting and a claimed ISO 27001 certification. The costs are real, though: no free plan, euro-only pricing, CRM sync from €119 a month, Salesforce only on a quoted tier, a custom domain charged separately everywhere, and no native signing. A sales team that only needs a follow-up page should buy something lighter. A small SaaS or services company that onboards every customer through the same steps should run the 14-day trial on its own onboarding template, because that is where Valuecase earns its price.
